About the role

We’re looking for an experienced Project Manager who can confidently own the lifecycle of brand and website projects from discovery through launch. You’ll work across multiple engagements simultaneously, in both defined projects and ongoing client retainers, serving as the connective tissue between our internal creative teams and our clients. You’re organized, communicative, and calm under pressure, and you know how to keep creative work moving without losing what makes it good.

This is a core project management role where client relationships matter. You’ll own delivery end-to-end while building the kind of client trust that keeps projects running smoothly. You’ll build client relationships, manage expectations, and partner closely with our creative director, designers, strategists, engineers, and other project managers to deliver work that’s on brief and on time.

The basics

  • Those with at least 3 years of relevant professional experience will be considered for this role. Much more experienced applicants will be considered for a senior-level role.
  • We are a distributed remote team working remotely (10am – 6pm EST). It’s a bonus if you live in NYC for more in-person opportunities, but not a requirement.
  • A successful candidate for this role would enjoy working remotely from home day to day and be interested in getting together for special occasions and retreats. 
  • You must be eligible to work in the United States.

What we’re looking for

  • End-to-end project management: You have demonstrated experience in project management across digital production workstreams for both standalone projects and ongoing retainers, including social campaigns, branding, motion assets, and websites built on content management systems such as WordPress or Drupal.
  • Agency or consultancy experience: Experience managing digital projects in an agency or consultancy setting, from scoping through delivery.
  • Production fluency: Familiarity with digital production timelines and understanding what it takes to deliver campaign assets at scale.
  • Exceptional communication and planning skills: Clear, confident communication with clients and internal teams, skilled at translating complexity into organized timelines, tasks, and next steps.
  • Mission-driven: Genuine interest in the relationships between design, technology, storytelling, and the important issues at the core of the work we do.
  • Attention to quality: Strong attention to detail and a genuine appreciation for the quality of your work.
  • Collaboration and facilitation: You thrive in a remote first team environment and know how to bring people together, run meetings, align stakeholders, and keep projects moving.
  • Comfort with client-facing work: You are confident speaking on behalf of Madeo in client meetings, calls, and written communications.
  • Adaptability: Comfort managing multiple projects simultaneously and can shift priorities without losing momentum or quality.

Your responsibilities

As a project manager at Madeo, you would support the successful delivery of branding, website, campaign, and communication projects. Responsibilities include:

  • Retainer and project oversight: Manage a mix of ongoing client retainer relationships and projects with a defined scope simultaneously, tracking deliverables, hours, and scope across both with equal care for branding, motion assets, landing pages, and large organizational website projects that span 8-12 months.
  • Scoping a project or effort: Articulating goals to designers, strategists, and developers; leading the team on task breakdowns and hours estimates.
  • Planning: Building practical timelines and scheduling recurring and milestone-based meetings, workshops, and presentations.
  • Systems set up and reporting: Setting up and maintaining project management boards and communication channels, planning resource allocation, and regularly reporting to clients and Madeo leadership on project progress, open items, and upcoming milestones. 
  • Client communication: Scheduling calls, taking clear notes, being able to speak on behalf of the project team when necessary, sharing next steps, and translating meeting outcomes into actionable tasks.
  • New business support: Contribute to proposals, scoping documents, and timeline estimates as we pursue new client partnerships.

  • Starting salary between $75,000 and $95,000. The range accounts for different levels of experience and living locations
