Project & Operations Coordinator

About the Role

The Operations Coordinator will support meaningful aspects of project management and team operations. In this role, you’d collaborate closely with the Operations Manager and Project Managers. Your day-to-day work would help us collaborate successfully within Madeo and with client teams. You would communicate and work with every team member at Madeo and with a diverse range of client teams.

Role Requirements

  • You are eligible to work in the United States.
  • Being able to work in EST timezone is a must (10am-6pm). If you live in New York, that’s a plus.
  • Enjoy working remotely but are also interested in getting together for special occasions and retreats.
  • Demonstrated interest and some experience in coordinating and organizing administrative, project, or team-based work. 
  • Demonstrated interest in working on creative projects.
  • Strong confidence in your written and verbal communication with a wide range of people.
  • This role would be particularly fulfilling for someone with a genuine interest in supporting progressive issues and working on creative projects with a focus on social impact.
  • Relevant experience in working with clients, especially in an agency setting is a plus.

Role Responsibilities

As a project and operations coordinator, you would be responsible for supporting the collective success of Madeo as a team and a company. You would work on the company’s operations and on meaningful client projects, including branding, websites, campaigns, and other marketing or communication initiatives. 

Some of your responsibilities would include this range below with initial estimates of how much each one may represent in your time, but that can change over time and based on your skills:

Operations Coordination (45% to 50% of your time)

  • Hiring: Screen job applications, schedule interviews, provide updates to candidates, and occasionally organize career Q&A webinars.
  • Workload Assistance: Connect with team members to estimate, plan, and track their workload on an ongoing basis, ensuring a healthy balance of work days, vacations, and split between learning and client projects for the team.
  • Team Events, Experiences, and Initiatives: Coordinate team retreats, events, workshops, and Madeo initiatives.
  • Resources: Assist in researching, acquiring, and facilitating tools, subscriptions, and resources that support Madeo team members.

Project Coordination (50% to 55% of your time)

  • Client & Project Meetings: Schedule meetings, such as discovery stakeholder interviews and other team-based Zoom meetings. Take well written notes, share next steps with different team members, and translate notes into actionable tasks on collaboration tools.
  • Client Support: Assist with carrying out and facilitating aspects of client inquiries and requests within projects, ongoing partnerships, and potential engagements.
  • Project Reporting: Track work done by team members, time spent on different tasks, and prepare periodic reports to be shared within Madeo and with client teams.
  • Tools & Resources: Setup up project-based tools, such as time tracking, project management boards, Slack channels, encouraging team members to use them on projects, and suggesting improvements in how tools are used.

This role assumes a junior to mid-level candidate. Its compensation and responsibilities would be set based on the hired candidate’s level of experience and range of relevant skill sets. 

The role invites constant growth, learning, and development opportunities. In time, it can lead to different career paths within Madeo. Either become more senior within team and company operations or take on a project management role.
